Developing a Support Team
Schedule of payments for an MMDR mission.
A non-refundable deposit of $200 is due within a few weeks of receiving the acceptance email for a specific mission (the due dates for each mission will be clearly spelled out in that email.)
Each team member books his/her own flight. This will need to be done without delay (usually around the time the deposit is made) as flights fill up quickly. Flight costs vary according to time & date. To estimate flight expense for the mission for which you are applying, go to American Airlines (aa.com) and price the flights for the desired dates from your local airport to Port au Prince (airport code PAP). In the acceptance letter, mission members will be given a specific flight itinerary required for entry and exit from PAP. If you'd like that information (for the purpose of estimating your costs) please email info@mmdr.org and request the specific flight arrangements for the specified mission. (No flights should be booked before an acceptance email is received).
The remainder of the mission fee ($800) will be due a few weeks before departure date.
As for the process of developing a support team:
Pray. Before submitting your application, pray about the process. Pray for provision and direction regarding your place on a mission. Many of our missions fill up quickly and good people are not accepted. Please do not see this as a rejection but look for a future mission which may work for you.
Write your support letters early. Get them out as soon as you receive your acceptance letter, so that you can begin collecting support and can stay on schedule.
Instruct your support team to make their checks payable to MMDR but to send their checks to YOU. You will collect your checks and send them in together, with an accounting and total of the checks, enabling you to know who has contributed, how much they have contributed and how much you will need to provide to ensure the full amount is paid.
Supporters may make donations online for you by going to MMDR.org and clicking DONATE. They must designate "specific project" and in the memo line will add your name and your specific mission (i.e. Your Name – July 2012 Mission.) If a donation is made online, you will be contacted regarding the donation, notifying you of the amount of donation and donor's name.
Tax deductible donations from donors may be used for airline expenses and the $1000 mission cost. If a supporter wants to help cover the cost of your immunizations or with the purchase any gear, they need to make that donation to you, but that will not be considered a tax deductible donation. However, members should keep receipts for all expenses related to volunteering through MMDR as proof of volunteer expenses for IRS purposes. If your support team provides money in excess of your airline expense and the $1000 mission cost, the remainder will not be reimbursed but will be applied to the mission itself (to help cover the costs of the projects executed on your mission), thereby preserving the integrity of the tax deductible donation.
Attached is a sample of a Missions Letter. You are welcome to use any part of this letter to convey your message to your support team. The desired method is clearly stated in this letter for payment online and collecting checks, so please pay close attention and be specific about that part of fundraising. To avoid confusion which can affect your balance, please do your best to understand the process and to clearly communicate the process to your potential support team.
